• Payment workflow information, such as payee names, sender names, check amounts, memo lines, status events, approvals, and reconciliation details.
• Recipient information needed to deliver checks or support optional direct deposit, which may include email address, identity or bank-verification data handled by payment partners, and payment preferences.
• Integration data from tools you connect, such as QuickBooks Online, PST Process Server's Toolbox, ServeManager, or related accounting and case-management systems.
• Usage and device information, including pages viewed, form submissions, IP address, browser type, approximate location, cookies, logs, and diagnostics.

2. How We Use Information

We use information to operate EmailMyChecks, send and track checks, support ACH options, reconcile payments, provide customer support, improve the product, communicate about onboarding and service updates, prevent fraud and abuse, secure accounts, comply with law, and enforce our terms.

3. How We Share Information

We may share information with service providers and partners who help us provide hosting, analytics, email delivery, customer support, identity verification, payment processing, ACH services, banking connectivity, fraud prevention, accounting integrations, and security operations. We may also share information when required by law, to protect rights and safety, in a business transfer, or with your direction through integrations and account settings.

We do not sell personal information. Recipient bank details are not shown to the sender unless a recipient separately chooses to provide that information outside EmailMyChecks.

4. Cookies and Analytics

We may use cookies, local storage, pixels, and similar technologies to keep the site working, remember form progress, understand traffic, improve onboarding, measure campaigns, and protect against abuse. Browser settings may let you limit some cookies, but certain features may not work without them.

5. Financial and Payment Data

When direct deposit, bank verification, ACH, or related features are used, payment partners may collect and process sensitive financial information under their own terms and privacy notices. We use reasonable administrative, technical, and organizational controls, but no system can be guaranteed perfectly secure.

We keep information as long as needed to provide the service, maintain records, meet legal and compliance obligations, resolve disputes, enforce agreements, prevent fraud, and support legitimate business operations. Retention periods vary based on the type of information and applicable requirements.

You may request access, correction, deletion, or export of certain personal information by contacting us. We may need to verify your request and may retain information where required or permitted by law, contract, security needs, or payment-record obligations. You can opt out of non-essential marketing emails by using unsubscribe links or contacting us.

We use safeguards designed to protect information, including access controls, encryption in transit, monitoring, and vendor review. You are responsible for protecting your account credentials, choosing strong passwords, and limiting user access inside your organization.

9. Children

EmailMyChecks is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
